Inventory Management Process

Retailer Availability
We operate under the assumption that our third-party retailers we have access to a consistent supply of product from the distributors. This means we are not actively managing inventory counts in your Shopify store unless we are made aware of limited quantities.

Inventory settings in Shopify will be configured to 'continue selling when out of stock' since we do not input inventory counts for products that are readily and regularly available.

During your onboarding, we will ensure that our retailers can source your product from the distributor. Whenever possible, we’ll also encourage them to stock a minimum amount of inventory to support your initial batch of orders as you establish sales data.

Retailers are expected to keep a reasonable amount of inventory on hand according to historical sales data & any sales projections you may be able to provide.

For products that are not available with the distributor just yet, please consider launching as Pre-Order.

Limited Time Offers (LTOs) and Quantity Limits
If we are notified of any Limited Time Offers (LTOs) or if there are limited quantities available for specific products, we take immediate action. Our team will update the quantity limits & disable the 'continue selling when out of stock' setting directly in your Shopify store to prevent overselling. This helps ensure that customers can only purchase what is genuinely available in the case of limited or allocated products.

In the case of limited quantities, we will always reserve buffer bottles that are not included in the available-for-purchase quantity count just in case there are any fulfillment issues like damaged or lost packages. The buffer amount will vary depending on the total available quantity.

Communication is Key

To ensure accurate inventory representation:

  1. Notify Us: Please inform us as soon as possible about any changes to product availability, including LTOs or low stock situations.

  2. Stay Updated: Regular communication regarding product status will help us maintain an accurate online inventory.

Merchandise

For brands fulfilling merchandise through Flaviar Checkout, you are responsible for managing your own merchandise inventory directly in Shopify or via a third-party Shopify app. See more on selling merchandise and non-alcohol items on Flaviar Checkout here.
